Ordering and Returning Test Materials

Q: What are the procedures for ordering?

Ordering procedures are dependent on your state. Some states handle ordering at the state level, while others complete ordering at a district or school level. Test Coordinators or designated staff should order materials through the WIDA Assessment Management System (WIDA AMS), which is DRC's online administrative interface. Ordering windows open at different times for different states. Consult with your state's page on the WIDA website to determine the dates for ordering. Q: How can districts order extras/additional materials?

There should be little need for extra/additional materials to be ordered, as initial shipments include extra copies of high-demand materials and a sufficient amount of overage is provided in the initial orders. If absolutely necessary, District Test Coordinators can order additional materials through WIDA AMS. The additional materials ordering window is outlined on your state's page on the WIDA website. Q: When will my state order test materials?

Each state has set its own testing window and has worked with DRC and WIDA on the designated time frames for all related testing activities (e.g., ordering materials, returning materials, post-test data validation, release of score reports). The state pages of the WIDA website list key dates for each state.

Q: Is overage built into the ordering, as it was in the past?

Yes, DRC will ship overage of the test materials ordered. Test Coordinators or designated staff should plan to order only what they expect to need. DRC will automatically include extras for all paper materials, including the Writing Response Booklets, so there is no need to enter extras.

Q: How do districts return paper materials to DRC?

All used and unused test materials, including Alternate ACCESS for ELLs materials, must be shipped to DRC by the deadline indicated on the State-Specific Directions (goldenrod) or your state’s page on the WIDA website. To return materials, designated staff should return the test materials to DRC in the boxes in which they were originally shipped. If those boxes were discarded or not in proper condition to be shipped, similarly sized boxes can be used. Q: Can I order Pre-ID labels?

No. If you require any additional labels, you need to use a District/School label and follow the instructions on how to complete booklet demographics in Part 1 of the ACCESS for ELLs 2.0 Test Administrator Manual.
